Office Administrator

Weinstein A+U is an award-winning firm based in Seattle, and the recipient of the 2019 AIA Northwest and Pacific Region Firm Award. Our design approach delivers disciplined and thoughtful projects, and our firm has been recognized for design excellence on a broad spectrum of project types, including multi- and single-family residential, adaptive reuse, commercial, and public sector projects. Our 29-person office is in a beautifully rehabilitated, brick-walled studio in an historic building near Pike Place Market, which promotes an open, collaborative work environment. We are currently working in a hybrid mode, with a flexible choice of days in-office.

We are seeking an experienced, full-time office administrator. Primary tasks & responsibilities for Office Administrator:

Reception + Events

  • Answer calls, rout calls, and greet visitors in a courteous manner.

  • Direct calls and guests to the appropriate individual or place.

  • Receive, sort and distribute mail, packages, and general office e-mail.

  • Arrange for special deliveries or couriers.

  • Organize catering; set up and clean up for events

  • Set up and troubleshoot A/V for meetings/presentations

  • Maintain general office appearance and oversee cleaning of the kitchen area

  • Coordinate office projects to achieve efficient office flow, including timely purchase of supplies and equipment

  • Coordinate maintenance and repairs for office equipment.

  • Manage conference room schedules, shared technology, and other items.

Library + Supplies

  • Manage regularity of office supplies, kitchen supplies, and printer supplies,

  • including purchase and restocking.

  • Curate architectural samples and promotional materials from product reps.

  • Archive completed architectural/urban design projects, including coordination with off-site storage company.

Office Support

  • Provide administrative support for architectural and design staff.

  • Maintain printers and assist with printing, including coordination with IT vendor

  • Provide general filing and word processing support, including file set-up for architectural projects.

  • Communicate effectively with a variety of constituent groups such as senior

  • management, clients, peers, and outside vendors/consultants.

  • Assist with data entry for accounts payable.

  • Other office tasks as required or requested.

Job Requirements

  • High School Diploma or equivalent

  • Excellent organizational and communication skills

  • Ability to prioritize and handle multiple assignments at any given time

  • 2 years minimum previous experience in an A/E office preferred

  • Proficient in Microsoft Office, i.e. Word and Excel

  • Experience with Adobe Creative Suites programs preferred
